ESSENTIAL DUTIES & RESPONSIBILITIES:
? Daily Management:
o Daily collection and input of pay data.
o Daily maintenance of time clock system.
o Weekly auditing of timesheets to ensure compliance with Federal, State, and Company policies, regulations, and appropriate agreements.
o Time-keeping on daily and/or weekly basis for HR, General Production, Sales, and IT and Accounting departments.
o Weekly calculations and input of any bonus pay.
o Prepares termination, correction checks and other special payroll checks
o Weekly input and audit of all pay data in PC Payroll system to ensure accuracy of information. Includes input of all new hire data into payroll and e-time.
o Weekly, monthly, quarterly, annual reporting.
o Distribution of payroll checks.
o Work with associates and management to resolve any payroll issues.
o Work with Accounting Lead to provide technical information and instruction regarding payroll procedures and methods, interpreting and explaining rules and regulations, and resolving problems and complaints.
o Training of new associates on AWC payroll processes and reading of payroll checks and vouchers.
o Monthly calculation and manual check input of Japan pay for advisors.
o Creation and application of Incentive Bonus and Plant wide Holiday pay using data and bonus spreadsheet batch in pay data.
o Input annual hourly and salaried associates pay increase, checking for accuracy and compliance.
o Weekly tracking and updating unpaid Insurance for Associates on FMLA or other leave, and issuing letters of advisement to those Associates.
o Monthly audit and preparation of State of Ohio child support statement.
o Weekly audit of benefit accrual report and any needed adjustments.
o Weekly audit of all Associates not set up for direct deposit and coordination with HR in implementing this requirement.
o Weekly completion and mailing of wage garnishment report forms to required courts.
o Weekly reporting of all new hired and terminated associates to Insurance.
o Weekly synchronization of Benefit Expert system with Payroll system.
o Monthly 401K reports, including 401K loans and Wire Reports.
o Monthly Hours, OT, and Salaried Vacation-Holiday Pay reports for labor tracking.
o Monthly reports for auditing and reconciling FSA deductions and dispersals.
o Monthly reports to track bonus pay, vacation costs, other deductions and other earnings for payroll accrual and auditing.
o Monthly reports for voided checks and manual checks.
o Monthly United Way and Computer Loan reports to track deductions, annual reconciliation of accounts.
o Monthly length of service report to calculate bonuses due in upcoming month.
o Monthly OT-DT-REG hours report for VP of Manufacturing to aid in Labor tracking and department labor costs.
o Monthly Payroll accrual report and Journal Entry.
o Monthly auditing of Insurance Billing for accuracy and adjustments for submission to AP.
o Reconciliation of Quarterly Tax reports.
o New Hire and Termination reports for HR and Training, and any other management reports as needed.
o Setting up and processing 401K sign-up and meeting for new participants and non-participating Associates.
o Prepare annual reports for 5500 and 401K discrimination testing
o Worker’s Compensation semi-annual report for audit and payments due.
o Wage continuation calculations and application as needed.
o Maintaining a secure and compliant payroll office, with regard to privacy and confidentiality.
o Storage of all required Payroll files for the required period of time.
o Constant updating of information and training to stay in compliance with ever changing payroll laws and regulations.
o End of year reports.
o Distribution of W-2s within compliance period.
o Instruct associates on enrollment and use of Ipay Internet system
o Works with ADP to trouble shoot any problems with Ipay, Benefit Expert, PC Payroll, and Etime systems.
o Remains Proficient with the Reportsmith, Excel, ADP PC payroll, and Etime systems.
? Improvement Activities:
o Applies Deming principles and other root cause analysis tools when analyzing problems within the associates department and makes the appropriate recommendations for improvements.
o May participate in Quality Circle improvement team when possible.
o Performs other improvement related functions as assigned.
? Prefer Associates Degree in a related field
? Minimum of three years Payroll Administrator experience
? May qualify with minimum five years Payroll Administrator experience and High School Diploma
? Must hold Fundamental Payroll Certification. Require passing of Certified Payroll Professional within 1st year associate is eligible to sit for exam
? Must have knowledge and understanding of all facets of payroll principles, tax methods, systems, and procedures
? Must be able to make procedural decisions and judgments involving sensitive and confidential issues under stressful conditions with a high level of integrity
? Must be able to understand and interpret legal documents and federal, state, and local regulations
? Must have knowledge of 401K, Federal and State Wage and Hour, FMLA, and Payroll Tax laws and regulations and keep current on all changes and developments to provide compliance
